Question of the Week: How do I manage my time better in this crazy market?
In today’s competitive, crazy real estate market, time is the most valuable commodity you have. Between juggling clients, listings, negotiations, and prospecting, it’s no wonder many agents feel like every day is a “hair-on-fire” sprint.
But here’s the truth: time management isn’t about having more hours in the day — it’s about being intentional with the hours you already have. When you learn to focus, structure, and protect your time, you’ll create more room for revenue, balance, and even joy in your business.
Let’s break it down into practical strategies you can implement this week.
1. Set Smarter Goals and Priorities
Forget long, overwhelming annual plans. In a shifting market, short-term sprint goals keep you nimble and focused. Ask yourself each morning:
-
What’s the ONE activity today that will move me closest to my next closing?
-
Which relationships (clients, prospects, sphere) need a touch today?
Then rank your tasks in order of revenue impact. Prospecting should always land at the top. Think of it like oxygen for your business — without it, nothing else survives.
Pro Tip: Use the “Power of Three” method. Choose only three non-negotiable tasks per day that, if accomplished, would make the day a win.
2. Plan With Purpose — Don’t Just Fill Time
Not every agent loves rigid time blocking, but every successful agent has some form of a daily plan.
-
Eat the Frog: Do the hardest thing first. For most, that’s prospecting calls. Once you knock them out, the rest of your day feels lighter.
-
Stack Wisely: Group similar tasks together — schedule showings back-to-back, batch emails, reserve one afternoon for CMAs. Context-switching kills productivity.
-
Serve, Don’t Sell: When prospecting, shift your mindset. Don’t call to “get a listing.” Call to see how you can serve someone’s next chapter. That mental shift changes everything.

3. Use Technology as a Time Multiplier
Leverage tools that buy back hours of your day.
-
Task Management: Trello, Asana, or ClickUp for keeping projects and deadlines in sight.
-
Scheduling: Calendly or Google Calendar to automate appointment setting.
-
Prospecting Shortcuts: Tools like REDX Storm Dialer and SlyBroadcast allow you to reach dozens of contacts in minutes instead of hours.
-
CRM Power: Don’t just collect names — use reminders and automation to ensure no lead falls through the cracks.
The right tech doesn’t replace your hustle; it amplifies it.
4. Protect Your Time by Saying No
In this market, distractions multiply fast. Every “yes” you give is a “no” to something else that matters. Learn to draw lines:
-
Decline invitations that don’t serve your goals.
-
Stop volunteering for problems that aren’t yours to fix.
-
Re-evaluate busywork tasks you’ve always done just because “that’s how it’s been.”
Your time is currency — spend it where it earns the biggest return.
5. Build in Breaks and Recharge Moments
Burnout is real. Productivity plummets when you never step away. Incorporate recharge time:
-
Pomodoro Technique: Work 25 minutes, break 5. After four rounds, take a longer pause.
-
Move Your Body: A walk around the block resets your energy better than scrolling social media.
-
Scheduled Self-Care: Treat workouts, hobbies, and downtime like appointments you can’t cancel.
Think of yourself as an athlete in training — recovery is part of performance.
6. Lean Into Systems and Support
Even the best systems crumble if you try to do it all alone. This is not the market to fly solo. Surround yourself with:
-
A reliable transaction coordinator or assistant, even part-time.
-
A peer accountability partner to check in weekly.
-
A community of agents who “get it” and can swap strategies when the going gets tough.
Inside the POWER AGENT® Program, agents rely on each other as much as the tools and training. Having that support structure means you don’t just survive the market — you grow through it.
Final Thought
Time management isn’t about squeezing in more. It’s about aligning your hours with your highest values and goals. When you shift from “reacting to the day” to “designing your day,” you’ll not only build more business, you’ll build a business worth smiling about.
